We have ERP, is there still a need for a special vehicle?

Articles · 3 October 2026

While ERP manages master records, some work may remain in emails and spreadsheets. The specific tool decision is made by first examining the possibilities of the current system and the actual process gap.

The existence of ERP is not the same as the completion of the process

Just because a company uses ERP does not mean that all its business runs on the same application. While main product, customer and order records are kept in ERP, proposal preparation, document collection or departmental approvals may remain elsewhere. This may be due to a missing module, a different way of working, or a process that has not yet been defined. First it is necessary to find out what the gap is. The sentence "We need special software" alone is not a scope. The answers to the questions of which process stops at which point, who takes over and where the information is moved should be written.

For example, the purchase order may be opened in ERP, but the technical documents may be collected in e-mail. The need here is not to establish a new purchasing system. It may be sufficient to match the documents with the order, point out the missing items and remind the relevant person. On the other hand, if the stock account is moved to another application, two different lines may occur. Developing a custom tool without knowing where the master record will reside may add a new record mismatch to the existing problem.

First examine the options in the current system

ERP's standard modules, reports, workflows and supported add-ons should be investigated. If the desired feature already exists, a different screen layout or user training may be sufficient. Making a new tool for an unused module creates two separate maintenance burdens. However, do not assume that just because the existing feature is technically available, the problem is solved. The questions of why the team does not use that feature, whether there is the necessary authorization, and whether the screen complies with the actual work order are important.

Compare the options of adapting an existing module, using a ready-made plugin, and developing a small custom tool within the same scope. For each option, write down the installation, access, support, update, and data transfer needs. If the decision is based solely on the initial development cost, ongoing maintenance remains invisible. Creating a report is not the same as keeping that report accurate after the data structure changes. Support accountability and the change process should also be part of the decision.

What gaps can a private vehicle fill?

Special tool can complete the narrow and repetitive work of a specific team. Examples include organizing files from different sources, creating a document checklist, or showing specific information in a single view. The limits of such a solution should be clear. The master record in ERP is preserved; The tool knows what information to read and what information to write back. If the user needs to manually update the same value in two places, the boundary of the solution should be reconsidered.

Choosing a single job for the first release gives a more evaluable result. For example, instead of a new panel covering all departments, a screen showing technical document deficiencies on an order basis can be prepared. Acceptance criteria are also determined by this work: correct order matching, missing document appears, unauthorized person cannot access the record, and tracking of changes. Business and automation options Within the scope of , the vehicle need can be defined through such a concrete transaction.

Data ownership and connection limit are decisive

In which system will a customer name, stock quantity or price be considered valid? This question must be answered for each data set when developing a custom tool. If ERP is the main source, the information displayed in the tool can be presented with the update time. If the connection is interrupted during operation, old information should not be displayed as current. When necessary, processing is stopped on the record or the last time the data was retrieved is clearly indicated to the user. The connection status should not be left as an invisible detail of the product.

Authorization to write to ERP is evaluated separately. Not every tool should directly modify main tables. It is based on the supported interface, the rules of the relevant system and the permissions of the application owner. When an incorrect record is produced, the correction path must be clear. Sensitive content is not unnecessarily stored in the logs, while the transaction, result and record ID are kept traceable. Conflicts are also handled in bidirectional data transfer; for this data transfer between two systems Options on can be examined together.

Security and maintenance are not added later

A small tool can also access company data. User roles, scope of access, file retention period and backup must be defined from the beginning. It should be known how to close access if an employee leaves. Instead of copying production data into test files, appropriate test data should be used. Link keys are not kept in the source code or shared table. These needs do not disappear just because the vehicle is small; becomes applicable in a narrower scope.

Attention: Automatic clicking on the ERP screen or writing directly to the database is not the same as using the supported API. The production system should not be intervened without verifying the supplier's support conditions, update effects and return plan.

How do you know if it is necessary?

Record lost information, re-entered fields and pending approvals in the current process. Then examine whether these gaps can be addressed within ERP. If it cannot be resolved, write down the narrow scope of the private vehicle, the data limit and those responsible. A junior pilot is evaluated by real work examples. Its success is not just about opening the screen; Accurate data, correct authority, understandable error and sustainable maintenance must go together. Sometimes the result is a new tool, sometimes an edit of the existing module; If both are based on real need, it is a valid and sustainable decision.

Frequently asked questions

If there is ERP, is a special vehicle unnecessary?

Not always. First, the existing module and adaptation possibilities are examined. If a narrow process gap remains, the special tool can fill it.

Should private vehicle replace ERP?

This is a separate and broader decision. Keeping the master record for the widget in the ERP and keeping data ownership clear often keeps the scope more manageable.

What is checked in the pilot?

Data matching, access authority, error behavior, recurrence prevention and maintenance responsibility are evaluated with real business examples.

  • How do you clean up duplicate records built up over the years?

The safe way to clean up duplicate records is to first define a matching rule that finds records that are the same, decide which record stays in each group, and never delete anything without approval. A full backup is taken before the cleanup starts and every merge is written to a report, so a record that was merged by mistake can be restored.

A quote tells the customer the price and terms; a proforma is a preliminary invoice prepared before the sale is final, for payment or advance approval, and it is not a tax document; an invoice is the official document issued after the sale takes place. Since all three carry the same customer and product information, producing them from a single source prevents the errors that come from typing the same information three times by hand.

  • Why do automation projects fail?

Automation projects usually fail not because the software is broken, but because the organisation around the work was never set up. The five most common reasons are: the scope growing along the way, messy data, only one person using the tool, no training for the team, and nobody owning maintenance after setup. All five can be discussed before the work begins.

  • What should you check before having a website built?

When having a website built, most attention goes to design, yet the issues that cause the most trouble later stay on the unseen side: whose name the domain and hosting are registered under, who holds the text, how fast the site opens on a phone, and whether it has been submitted to Google. A company that settles these four points from the start also removes the risk of losing its site years later.

  • Is it safe to move our data to the cloud, or should we keep it on our own server?

The cloud is neither safe nor unsafe in itself; what determines security is whose responsibility the data sits under, who can access it and how it is backed up. If you can answer these three questions clearly, your data is safe whether it is on your own server or in the cloud; if you cannot, changing its location will not solve the problem.

  • What determines the cost of AI software?

The cost of AI software is made up of four items: setting up the work, monthly use and hosting, the usage fee for the AI model, and maintenance. In a ready-made package these items are combined into a single monthly fee; for a custom tool, a separate quote is given according to the size of the job. The hidden cost is often in maintenance and data preparation.

  • What if the AI assistant on your site gives a wrong answer?

The risk is real, but manageable. An assistant's wrong answer usually comes from guessing about something it does not know. The solution is to draw a clear line from the start around what the assistant knows and does not know, and to have it hand over to a person when it does not know.
