Data transfer between two systems: integration or manual?

Articles · 3 October 2026

Writing the same information to two applications works for a while. When work is repeated, the decision should be made not only by speed but also by the need for data accuracy, traceability and maintenance.

First define the information and transaction being moved

A sales record may be entered first into the customer system and then into the accounting application. Another team might be moving the supplier list from an Excel file to the purchasing screen. In both cases, the problem is not just copying. It should be known which field has which meaning, when the record is finalized and where the correction will be made. A connection established before this information is clarified may carry erroneous data faster. The first step is to write the current process through a few real examples. For example, is the order number available in both systems; Or is matching done based on name and date?

Specify the data source separately. If the customer address is updated in one application but remains old in another, it should be clear which version to use. Each field must have a principal and valid source, regardless of the transfer method. A good start is to write the field name, format, obligation, target field, and control rule side by side in a table. This way the differences between systems become visible and everyone uses the same mapping.

When is manual transfer reasonable?

If work is done infrequently, the number of records is small, and each record must be interpreted, manual transfer may be reasonable. Immediately automating a process that is still changing may mean re-running the changing rules into the software over and over again. However, manual work must also have a certain order. The transferred record must be marked, a second entry must be prevented and the result must be checked. If the currency or date of a copied amount is incorrect, the equal totals of the two screens will not be enough to catch the error.

Don't just count typing time when estimating the cost of manual work. Preparing the file, completing the missing fields, finding the error and fixing it back are also part of the job. Recording process steps and exceptions for a week provides concrete data for decision making. This record does not guarantee a specific savings rate; It shows which step is repeated and which requires human evaluation. The appropriate limit for automation often comes down to this distinction.

Bulk transfer via file may be an intermediate solution

If the source system offers export and the target system offers import, batch processing via CSV or Excel may be sufficient. This method does not require a constant connection between the two applications. On the other hand, column order, date format, decimal separator, character encoding and free space behavior should be checked. A match that works in the sample file may not produce the same result in a file coming from a different country. Product codes with leading zeros may also be interpreted as numbers and may change.

Choose a small, representative sample to try file transfer. New record, updated record, missing field and duplicate record should be included in the same test. Accepted and rejected lines will appear separately in the import report. Correcting and resubmitting the failed row should not recreate successful rows. for this need bulk data entry The approach can be examined; The method must again be chosen within the limits allowed by the application used.

Under what conditions does direct integration make sense?

If the work is repeated frequently and the two parties have supported connection interfaces, integration can be considered. Having an API alone is not enough. Access authorization, usage limits, meaning of fields, update order and error responses must be known. It should also be determined from the beginning whether the connection will only read or write. Instead of granting too broad authorization, the narrowest scope to carry out the relevant action is selected. Before working with production data, verification is carried out in a suitable test environment.

The direction of transmission must be clear. In a one-way connection, the source system carries the change to the target. In a two-way connection, it is possible for the same record to be changed on both sides. In such a case, it is not always right that the last person to write wins. Conflict rule, change date, and fields requiring human approval should be defined. Deletion also requires a special decision: deleting the record on the other side, deactivating it or simply removing the link will have different consequences. Automatic deletion should not be made the default behavior.

Reimagine error and replay management

The same request can be sent again when the connection is lost. The system should be able to understand that this is a repeat of the previous transaction, not a new record. This requires an unchanging record ID and transfer status. Successful transaction, pending transaction, and error requiring human intervention are kept separate. The notification should not just say that there is an error; It should show which records may be affected, whether it is safe to try again, and the next step. Logs should not turn into a pile of passwords and personal data.

Attention: A tool that automatically clicks on the screen does not have the same robustness as a supported integration. Screen layout, session duration or application update may affect the operation. If such a method is chosen, the control, maintenance and shutdown plan should be determined separately.

Make the decision with a little pilot

First select a single data group and a limited action. The criterion of success for the pilot should be correct field matching, recurrence prevention and error tracking rather than the number of transmissions. Compare results with source records; Also try the way back. Methods can be compared when the process owner, connection owner, and maintainer are clear. Business and automation options Determining the scope via helps clarify the boundary of the problem before changing existing practices.

Frequently asked questions

Is an API required for every data transfer?

No. Infrequent and small jobs can be done manually, suitable jobs can be done via file. API decision is made based on recurrence frequency, supported access and error handling.

What happens if the same record changes on both sides?

Collision rules are required for bidirectional transmission. Which area will be fed from which system and which changes will require human approval are determined in advance.

How should the first test be done?

A small and representative data set is selected. New, updated, missing and duplicate records are attempted; The results are compared with the source.

  • How do you clean up duplicate records built up over the years?

The safe way to clean up duplicate records is to first define a matching rule that finds records that are the same, decide which record stays in each group, and never delete anything without approval. A full backup is taken before the cleanup starts and every merge is written to a report, so a record that was merged by mistake can be restored.

Since all three carry the same customer and product information, producing them from a single source prevents the errors that come from typing the same information three times by hand.

  • Why do automation projects fail?

Automation projects usually fail not because the software is broken, but because the organisation around the work was never set up. The five most common reasons are: the scope growing along the way, messy data, only one person using the tool, no training for the team, and nobody owning maintenance after setup. All five can be discussed before the work begins.

  • What should you check before having a website built?

When having a website built, most attention goes to design, yet the issues that cause the most trouble later stay on the unseen side: whose name the domain and hosting are registered under, who holds the text, how fast the site opens on a phone, and whether it has been submitted to Google. A company that settles these four points from the start also removes the risk of losing its site years later.

  • Is it safe to move our data to the cloud, or should we keep it on our own server?

The cloud is neither safe nor unsafe in itself; what determines security is whose responsibility the data sits under, who can access it and how it is backed up. If you can answer these three questions clearly, your data is safe whether it is on your own server or in the cloud; if you cannot, changing its location will not solve the problem.

  • What determines the cost of AI software?

The cost of AI software is made up of four items: setting up the work, monthly use and hosting, the usage fee for the AI model, and maintenance. In a ready-made package these items are combined into a single monthly fee; for a custom tool, a separate quote is given according to the size of the job. The hidden cost is often in maintenance and data preparation.
