Working software is not the same as having another team maintain it. Discuss code, documentation, data and access delivery together at the beginning of the project.
Working screen and delivered product are not the same
Imagine that a bidding application has been developed for your company. Employees log in, select products, and receive a PDF. In terms of daily use, it may seem like the job is done. However, when the developer who will change the price table leaves, it is not yet known whether another team will be able to run the application. The source code issue becomes important at this point. Discuss the possibilities of using the screen, changing the software and running it in a different location separately at the beginning of the project. Do not treat these as submissions that mean the same thing; Let it be clear which file and which document will be given for each of them.
This article does not determine the legal outcome of a contract. The scope of the rights is evaluated according to the agreement, the components used and the applicable law. Review the contract clauses with a legal expert when necessary. The only thing that can be done technically is to translate the expected deliverable into a comprehensible list. Which part is developed specifically for you, which part is used as a ready-made service, and which part is based on a third-party library? Without this distinction, it can be misleading to assume that all code will be delivered with the same condition.
Determines the delivery model you need
In a ready-made subscription service, the provider may not be expected to deliver the source code. Instead, data export, access when the service ends, and integration possibilities are evaluated. In a specific application for you, the welding tank, installation description and modification conditions may be requested to be included in the scope of delivery. Both models meet different requirements. Don't make your decision based on the initial price alone. If the application is running the firm's core business, the need to be able to continue with another vendor may be more evident.
The requested delivery should be compatible with the project scope. For example, when you get the screens of the application written for you, you cannot get the internal software of the cloud service used. However, you may want it to document what data was sent to that service and how the connection was established. Instead of assuming that a delivery that is not included in the offer will occur automatically later, clarify the question in writing.
What information should be included next to the code?
Having the source files in a folder is a good start; alone is not enough for sustainable delivery. What version of the code is live, what development tool is used, and how are dependency versions fixed? The names of configuration variables, their instance values, and the secure method of provisioning should be documented. Actual passwords or keys should not be placed in the code repository. The new team should be able to install the application by acquiring the secrets in a separate, authorized process. Clearly writing confidential information about the production environment in the delivery document does not facilitate delivery; creates a new risk.
Database structure, installation steps, sample test data and backup recovery instructions should also be included in the package. Save scheduled tasks, external service connections, and file storage locations. This requirement must be known if a report is generated only with the font on a particular server. Also describe the user roles and actions the administrator can perform. These documents do not have to describe every detail of the application in a long book; It must provide complete information for the new team to operate the system safely.
Separate dependencies and terms of use
The application may use an open source library, paid component or shared module from the provider. Their terms of use are not the same. Maintain an inventory of the component name, version, license source, and renewal requirement. If a paid component is registered in the developer's account, ask in advance how to use it in the new team. Purchase does not necessarily mean unlimited transfer or use in every environment. Check the relevant condition from the actual license document; Don't make a decision based on a general assumption.
Keeping the code repository in a business account may facilitate access; Ownership of an account alone does not explain all usage rights. What contributions the developer delivers and what limits exist should be seen in the contract. Likewise, data ownership and the ability to migrate data should be handled separately from code. If you can't export customer records when moving to a new team, you may have problems migrating even if the code has been delivered. Data transfer between systems so include it in the delivery plan.
Verify delivery with a small acceptance test
At the end of the project, set up a clean test environment instead of just counting files. Run the application using the delivery document, log in with the sample user, and complete a basic operation. Then restore the backup and export the sample data. If a step is required during the process that is not included in the document, add it. Perform testing without disseminating production data and without modifying the live system. Thus, the difference between the file being delivered and the delivery being usable is clearly visible.
Keep the repository address, delivery version, installation recipe, dependency inventory, data export, maintainer, and detachment steps together in the final checklist. This list will be updated when changes are made. The goal is not to use the same contract on all projects, but to define the delivery that will sustain your business. When the model, offer and acceptance record discussed at the beginning match each other, the supplier change becomes a more understandable technical task.
Frequently asked questions
Is getting the source code alone enough?
No. Installation documentation, dependencies, proper terms of use, and verification of running in a clean environment are also required.
Is code delivery expected in every software?
The delivery model of the ready-made subscription service and the software developed specifically for you may be different. Clearly define the model and scope in the contract.
How to test supplier switching?
Include in acceptance testing having a new authorized team set up the test environment with the delivery package and export the sample data.

Five questions to ask when choosing a software developer
The lowest bid alone is not the correct selection criterion. Evaluate maintenance, delivery, data, initial release, and training questions through the same sample process.
4 October 2026Read →Data transfer between two systems: integration or manual?
Writing the same information to two applications works for a while. When work is repeated, the decision should be made not only by speed but also by the need for data accuracy, traceability and maintenance.
3 October 2026Read →We have ERP, is there still a need for a special vehicle?
While ERP manages master records, some work may remain in emails and spreadsheets. The specific tool decision is made by first examining the possibilities of the current system and the actual process gap.

An employee’s job contains many different kinds of task. Assess these separately to understand where AI and automation may help.
2 October 2026Read →Customers missing appointments: do reminders help?
A reminder brings a forgotten appointment back into view; it does not guarantee attendance. Collect accurate contact details, send a confirmation and follow up with a short reminder before the appointment. Measure completed appointments, rather than bookings alone.
1 October 2026Read →What happens if your website is hacked, and how can you prepare?
When a change looks suspicious, protect the website and its users, preserve records and establish the scope. Restoring a clean backup is not enough on its own: close the entry point, secure relevant access and test the service again. Regular maintenance supports this preparation.
1 October 2026Read →Who benefits from an appointment system?
An appointment system can help when customers need to reserve a time slot and arranging those slots by phone interrupts your work. First clarify service durations, shared resources and exceptions.
22 September 2026Read →What if AI makes things up?
A fluent answer is not verified information. A business tool needs more than well-written output: it needs a workflow that prevents actions based on incorrect or incomplete information.
22 September 2026Read →Can a spreadsheet with thousands of rows be entered into a system in bulk?
In most cases, yes. The hard part is not the entry itself but getting the data into the shape the system expects and verifying that every row was really saved. If the system offers no bulk route, the work goes through the screen, and that depends on the rules of that system.
21 September 2026Read →Why does preparing a quote take so long?
Writing the quote does not take long; the time goes into hunting for the price, copying and correcting an old quote, and rebuilding the layout every time. Once the price list sits in one place and the rules are written down, a quote comes out in minutes.
21 September 2026Read →Which jobs are suited to automation, and which are not?
The job best suited to automation is one that repeats often, whose rules can be written down and whose data is already digital. Work that needs judgement, is full of exceptions or has its data on paper needs another step first.
18 September 2026Read →What if the AI assistant on your site gives a wrong answer?
The risk is real, but manageable. An assistant's wrong answer usually comes from guessing about something it does not know. The solution is to draw a clear line from the start around what the assistant knows and does not know, and to have it hand over to a person when it does not know.
18 September 2026Read →Is ranking in Google the same as being mentioned by AI?
Partly. Both draw on the same foundation, but they do not reward the same thing: Google ranks a page, while AI reads several sources, writes an answer and decides for itself who to mention in it.
17 September 2026Read →Why doesn't ChatGPT mention my company?
The reason is rarely “the AI does not like us”. Usually it is a technical block, scattered company information, or the company not being mentioned anywhere else online. All three can be fixed.
17 September 2026Read →What should your site have so AI describes you correctly?
When AI describes a company, it uses the clearest sentences it finds on the site. The list below goes page by page through where those sentences should sit, how they should be written and the markup machines will read.
17 September 2026Read →What is GEO? Being visible in AI answers
GEO (Generative Engine Optimization) is the work of making sure that when ChatGPT, Gemini, Perplexity and Google's AI Overviews answer a question, they find your business, describe it correctly and cite it as a source. It does not replace SEO; it builds on top of it.
17 September 2026Read →Will an AI tool learn my company's data?
Short answer: not in a tool running through a commercial API. But that answer depends on how the setup was done, so it is worth knowing what goes where.
16 September 2026Read →When does a spreadsheet stop being enough?
Excel is not a bad tool; it handles most jobs and more. The problem is carrying on with it for months after the point where it stopped being the right fit.
16 September 2026Read →Off-the-shelf software or custom-built?
The right answer depends on how specific the work is to you. Work that everyone does the same way is cheaper off the shelf; work you do your own way is cheaper built for you.
