The lowest bid alone is not the correct selection criterion. Evaluate maintenance, delivery, data, initial release, and training questions through the same sample process.
First prepare a comparable job description
When you ask three software developers for a quote for the same application, you may encounter three different scopes. One prices only the screens, one adds data transfer, and the other offers maintenance separately. These offers cannot be compared on the same total. First describe the current job and the expected result with a brief example. What information does the employee preparing the proposal receive, who approves it, and which document goes to the customer? Sharing a real example by extracting personal data provides a more understandable start than just listing feature names.
The job description does not have to be a detailed technical specification. Let users, mandatory information, basic operation, expected output and important exceptions be clear. Then ask each candidate for written answers to the same questions. The following five questions can be used to make sense of the price and see how the application will survive after delivery. A long answer is not a proof of quality. It is more important that it is applicable in your business and can be tested during acceptance.
First question: who will carry out the maintenance work?
The product list, business rules, or external services may change after the software is delivered. Who will respond when a bug is reported and what channel will be used? Bug fixes, security updates and new feature additions should be written separately in the maintenance scope. Don't assume these are the same price. Also separate response time from resolution time. Saying that the notification has been received does not mean that the error has been fixed; What the parties expect in each situation should be clearly defined.
Working with a sole provider is not a problem on its own. But ask who will continue the work when the person is on leave or leaves the project. Backup, rollback and change logging are also part of maintenance. Ask them to explain with an example how they tested the update before implementing it live. Automation works Identifying the maintenance person when planning reduces the uncertainty that will arise after the project. Rather than choosing the broadest package for every need, identify the support you actually need.
Second question: who will have the code and delivery package?
The delivery model of ready-made service and custom software may be different. Will the source code, installation document and dependency information of the section to be developed specifically for you be provided? What will be the conditions under which a different team can continue the application? Do not leave these questions with verbal answers alone. The delivery package and terms of use should be seen in the offer. Providing a link to a repository does not disclose all usage rights; Contract and component conditions should be evaluated with relevant experts when necessary.
Identify a small test to test the usability of the delivery. Installing in a clean environment, completing the basic process, and restoring the sample backup can be good starts. Record which transaction can be performed with which document. Source code delivery control you can also read. Putting passwords and keys inside the code is not a method of delivery. Access must be transferred through a separate, authorized and recorded process; Unnecessary access should be closed at the end of the project.
Third question: where and how will the data be managed?
In which environment will customer, order or personnel data be kept? Who will be able to see the data, which role will be able to perform which action, and how will the records be exported? Ask the provider to show the data flow with a simple diagram. The areas sent to external services should also be clarified. Do not share real personal data just to prepare an offer; Use sample or anonymized data. Data processing obligations may require expert evaluation depending on the scope of the application.
Evaluate the statement that a backup was taken together with how it was restored. Where is the backup, who has access to it, and has the restore been tested before? Also ask in what format you will receive your data once the service is finished. Providing a PDF report alone may not indicate that all records can be moved to another system. Field names, relationships, and additional files must be included in the export. Adding these requirements to the initial proposal can reduce the need to define a new project at departure.
Fourth question: what work will the first release complete?
It is not necessary to include all ideas in the first version. The important thing is to complete the determined workflow from start to finish. If the user logs in but cannot print the approved document, the basic job may not be completed yet. Asking the candidate for in-and-out coverage of the first version makes this difference visible. Make it clear which data will be entered manually, which connection will be postponed and which report will be generated. Write the expected result of a sample operation rather than a vague list of properties.
Create acceptance criteria on the same job. What happens when a required field is missing, how is duplicate registration handled, and what does the user see if a transaction is abandoned? Considering error streams avoids evaluation based solely on successful demonstration. Know the change method and pricing approach for new features from the beginning. Rather than guaranteeing an exact time for each phase of the project, clearly evaluate dependencies, information expected from you, and decision dates.
Fifth question: who will train the team and how?
A demonstration by the developer does not prove that employees can use the application. Plan the training based on your example process. Let the user open a record, correct the faulty field, get the necessary approval and create the output. The steps for changing permissions for the administrator and reporting a problem should also be explained. A brief user guide and sample recording are also helpful for the novice worker. Stuck points in training should not be considered just user error; Consideration should be given to whether display or description improvements are required.
Collect answers to five questions in one table: scope, responsible, delivery document, acceptance testing and cost. Clarify any open questions before the offer is signed. The aim is not to rank candidates by number of technical terms. A solid benchmark is to choose the team that understands your business, communicates its boundaries clearly, and makes its delivery verifiable. Thus, subsequent use and maintenance are included in the decision as much as the first display.
Frequently asked questions
How to compare offers?
Compare with the same process, scope, delivery metrics, and care expectations. Comparing the total price alone is not enough.
Should every feature be included in the first release?
A limited edition can be selected that complements the primary workflow. Break down the missing features and the next phase in writing.
Should training be part of the delivery?
Practical training and a short user manual, where people who will use the job can perform sample operations, may be included in the scope of delivery.

Whose code should be for the software you print?
Working software is not the same as having another team maintain it. Discuss code, documentation, data and access delivery together at the beginning of the project.
4 October 2026Read →Data transfer between two systems: integration or manual?
Writing the same information to two applications works for a while. When work is repeated, the decision should be made not only by speed but also by the need for data accuracy, traceability and maintenance.
3 October 2026Read →We have ERP, is there still a need for a special vehicle?
While ERP manages master records, some work may remain in emails and spreadsheets. The specific tool decision is made by first examining the possibilities of the current system and the actual process gap.

An employee’s job contains many different kinds of task. Assess these separately to understand where AI and automation may help.
2 October 2026Read →Customers missing appointments: do reminders help?
A reminder brings a forgotten appointment back into view; it does not guarantee attendance. Collect accurate contact details, send a confirmation and follow up with a short reminder before the appointment. Measure completed appointments, rather than bookings alone.
1 October 2026Read →What happens if your website is hacked, and how can you prepare?
When a change looks suspicious, protect the website and its users, preserve records and establish the scope. Restoring a clean backup is not enough on its own: close the entry point, secure relevant access and test the service again. Regular maintenance supports this preparation.
1 October 2026Read →Who benefits from an appointment system?
An appointment system can help when customers need to reserve a time slot and arranging those slots by phone interrupts your work. First clarify service durations, shared resources and exceptions.
22 September 2026Read →What if AI makes things up?
A fluent answer is not verified information. A business tool needs more than well-written output: it needs a workflow that prevents actions based on incorrect or incomplete information.
22 September 2026Read →Can a spreadsheet with thousands of rows be entered into a system in bulk?
In most cases, yes. The hard part is not the entry itself but getting the data into the shape the system expects and verifying that every row was really saved. If the system offers no bulk route, the work goes through the screen, and that depends on the rules of that system.
21 September 2026Read →Why does preparing a quote take so long?
Writing the quote does not take long; the time goes into hunting for the price, copying and correcting an old quote, and rebuilding the layout every time. Once the price list sits in one place and the rules are written down, a quote comes out in minutes.
21 September 2026Read →Which jobs are suited to automation, and which are not?
The job best suited to automation is one that repeats often, whose rules can be written down and whose data is already digital. Work that needs judgement, is full of exceptions or has its data on paper needs another step first.
18 September 2026Read →What if the AI assistant on your site gives a wrong answer?
The risk is real, but manageable. An assistant's wrong answer usually comes from guessing about something it does not know. The solution is to draw a clear line from the start around what the assistant knows and does not know, and to have it hand over to a person when it does not know.
18 September 2026Read →Is ranking in Google the same as being mentioned by AI?
Partly. Both draw on the same foundation, but they do not reward the same thing: Google ranks a page, while AI reads several sources, writes an answer and decides for itself who to mention in it.
17 September 2026Read →Why doesn't ChatGPT mention my company?
The reason is rarely “the AI does not like us”. Usually it is a technical block, scattered company information, or the company not being mentioned anywhere else online. All three can be fixed.
17 September 2026Read →What should your site have so AI describes you correctly?
When AI describes a company, it uses the clearest sentences it finds on the site. The list below goes page by page through where those sentences should sit, how they should be written and the markup machines will read.
17 September 2026Read →What is GEO? Being visible in AI answers
GEO (Generative Engine Optimization) is the work of making sure that when ChatGPT, Gemini, Perplexity and Google's AI Overviews answer a question, they find your business, describe it correctly and cite it as a source. It does not replace SEO; it builds on top of it.
17 September 2026Read →Will an AI tool learn my company's data?
Short answer: not in a tool running through a commercial API. But that answer depends on how the setup was done, so it is worth knowing what goes where.
16 September 2026Read →When does a spreadsheet stop being enough?
Excel is not a bad tool; it handles most jobs and more. The problem is carrying on with it for months after the point where it stopped being the right fit.
16 September 2026Read →Off-the-shelf software or custom-built?
The right answer depends on how specific the work is to you. Work that everyone does the same way is cheaper off the shelf; work you do your own way is cheaper built for you.
